Job Summary
The Medical Affairs Operations Coordinator will support the Global Medical Affairs (GMA) team by assisting with recruitment activities (including onboarding of new hires and contractors), staff forecasting, and development of project trackers, timelines, and dashboards. The role involves coordinating with clients and cross-functional teams, organizing project kick-off meetings, creating SOPs and training materials, preparing slide decks for leadership, maintaining accurate records, and identifying workflow improvements to enhance GMA efficiency. Requires a Bachelor’s in Life Sciences/Pharmacy/Medicine with management training and experience in project management or Medical Affairs operations; proficiency with Smartsheet, MS Project, Excel, PowerPoint, SharePoint, Visio/Miro; strong organizational, communication, and analytical skills.
Required Qualifications
- Bachelor’s degree in Life Sciences/Pharmacy/Medicine, complemented by a degree or formal training in Management
- Experience in Project Management, Medical Affairs operations, project coordination, or similar operational support roles
- Proficiency in project management tools (Smartsheet, MS Project, Excel, PowerPoint, SharePoint) and workflow-mapping tools (Visio/Miro)
- Strong organizational skills and attention to detail
- Experience creating SOPs, documentation, and structured records
- Ability to develop professional slide decks and operational reports
- Excellent communication and stakeholder coordination skills
- Ability to multitask in a fast-paced environment
- Strong analytical thinking and problem-solving mindset
