Medical Administrative Support

Job Summary

Conduct front-desk medical administration and serve as the primary administrative point of contact for patients, visitors, providers, and clinic personnel. Receive, greet, and direct individuals to appropriate medical services while obtaining and documenting patient information, vital signs, and medical history. Coordinate appointments, schedules, and clinic correspondence; organize and maintain medical records, documentation, and administrative files. Perform computerized data entry and information processing within authorized medical systems to support patient care coordination and medical readiness. Maintain accountability and security of protected health information in strict compliance with HIPAA, Department of DoD, Navy, and clinic requirements.

Required Qualifications

  • US Citizen
  • Valid U.S. driver's license
  • Must hold an active Secret Security Clearance
  • Proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint)
  • Must be able to communicate clearly and effectively
  • Must accurately input and manage data across systems
  • Must be able to obtain and maintain installation access
  • Must be compliant with Health Insurance Portability and Accountability Act (HIPAA) requirements
  • Certification: Must be certified by the American Health Information Management Association (AHIMA) or have completed a Medical Assistant Program recognized by the Commission on Accreditation of Allied Health Education Programs (CAAHEP) or the Accrediting Bureau of Health Education Schools (ABHES)
  • Minimum three (3) years of Naval Special Warfare (NSW) community experience
  • Practical knowledge of standard clinic procedures, medical record accountability, patient administration, and medical terminology
  • Experience with computerized medical data entry and medical information management systems
  • Experience using Electronic Health Record (EHR), medical readiness, patient administration, or comparable medical information systems
  • Experience supporting patient scheduling, records management, medical documentation, and clinical administrative operations
  • Strong customer service, interpersonal communication, medical documentation, and organizational skills
  • Ability to manage multiple administrative tasks in a fast-paced clinical environment while maintaining confidentiality and accuracy
  • Ability to move equipment weighing 10–20 pounds
  • Ability to sit or stand for extended periods in a clinical environment
  • Ability to perform repetitive administrative and data entry tasks
  • Ability to interact with patients in a clinical setting
  • Ability to occasionally lift and/or move up to 25 pounds
  • Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus
