Mechanical Service Writer

Job Summary
Mechanical Service Writer needed to estimate heavy-duty truck and trailer mechanical jobs (parts and labor), bill service tickets, and communicate with vendors, technicians, and customers about estimated costs, lead times, and scheduling. Responsibilities include estimating service tickets, ordering parts, processing returns, providing customer support, direct communication with technicians, customers, and vendors, and assisting in service billing. Requires communication skills, familiarity with VMRS codes and TMC practices, and proficiency with Microsoft Office; experience with AS400/SAP/BTN is a plus. Workplace combines office and shop/warehouse; safety programs adherence and potential overtime. Education: Associate's Degree in Business or related field (four-year degree preferred or equivalent experience); minimum 2 years in the industry or related management role. Strong organizational, analytical, and training abilities; ability to work both independently and as a team member, and to meet month/quarter/year-end deadlines.
Required Qualifications
- Associate's Degree in Business or related field; four-year degree preferred and/or equivalent work experience
- At least 2 years' experience within the industry or a related management position
- Strong organizational and time management skills with close attention to detail
- Complete understanding of VMRS codes and TMC recommended practices
- Strong skills in Microsoft Office (Outlook, Word, Excel, PowerPoint) and ability to learn AS400, SAP, BTN
- Superior customer service and communication skills (written and verbal)
- Ability to pass background check and drug screen
- Understanding of invoicing and billing procedures
- Ability to multi-task and work effectively under pressure and time constraints
- Familiarity with Paylocity is a plus
- Ability to train and coach in administrative practices
