Job Summary
Assist with document formatting, assembly, and production preparation for proposals and client-facing deliverables. Support scheduling coordination, deadline tracking, and logistical activities for events and meetings. Maintain project folders, tracking logs, and organizational systems while updating CRM data and ensuring consistency across departmental workflows. Collaborate with marketing staff, leadership, engineers, and project managers to coordinate tasks across multiple concurrent pursuits. Manage administrative and production support activities to ensure efficient team operations within standard business hours.
Required Qualifications
- 1+ year of marketing or administrative support experience
- Associate's degree in Marketing, Communications, or related field
- Strong proficiency in Adobe InDesign
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, OneNote)
- Experience with Microsoft Teams and SharePoint
- General proficiency working in a PC/Windows-based environment
- Strong written and verbal communication skills with a command of grammar and clarity
- Demonstrated ability to stay organized and manage multiple tasks with attention to detail
- Ability to support multiple deadlines in a fast-paced environment
- Availability to work standard business hours (Monday through Friday)
- Ability to actively engage with a computer for several hours per day
- Ability to represent the firm professionally in all communications
- Ability to lift items up to 15 lbs
- Authorization to work in the U.S.
Desired Qualifications
- AEC or professional services experience
- Bachelor's degree in Marketing, Communications, or related field
- Experience with Unanet or similar CRM systems
- Familiarity with Adobe Creative Cloud, including Photoshop and Illustrator
- Experience with workload or task tracking systems
