Job Summary
Lead daily administrative and operational functions across multiple Innercore Health locations by supervising front office and administrative staff, managing schedules using the 2x2x2 approach, and overseeing bookkeeping activities including QuickBooks administration. Ensure exceptional client experience through reception operations, appointment scheduling, and issue resolution while monitoring Mindbody utilization and implementing standardized office policies. Coordinate coverage for absences, assist with recruiting and onboarding, and oversee supplies, equipment, and vendor needs. Prepare operational reports, monitor key performance indicators, and support leadership with budgeting, forecasting, and strategic initiatives to improve efficiency and service delivery.
Required Qualifications
- Experience managing office operations and supervising administrative staff
- Experience with bookkeeping, accounting support, or office financial management
- Strong proficiency with QuickBooks or similar accounting software
- Experience using scheduling and client management software such as Mindbody
- Demonstrated leadership, coaching, and team development skills
- Excellent organizational, communication, and problem-solving abilities
- Strong customer service orientation with the ability to professionally resolve concerns
- Ability to manage multiple priorities while maintaining accuracy and confidentiality
- Strong computer proficiency and ability to quickly learn new systems
- Ability to thrive in a fast-paced, growing organization
Desired Qualifications
- Bachelor's degree in Business Administration, Healthcare Administration, Accounting, Management, or a related field preferred
- Equivalent leadership experience will be considered
- Three to five years of progressively responsible experience in office management, operations management, healthcare administration, hospitality management, or a related field is preferred
- Supervisory experience, QuickBooks proficiency, and experience with Mindbody are highly desirable
