Job Summary
Manager, Program Operations at IHS leads end-to-end planning and execution of convenings (in-person and virtual), owning logistics, technology, and design for about ten events annually. Responsible for creating and maintaining detailed project plans, coordinating venue, A/V, catering, run-of-show, and on-site staffing; travel up to ~25% for on-site execution; supports additional programs with registration, technology setup, and on-site staffing. Manages event technology stack (Cvent, Salesforce, Asana, Egencia, MassMailer), evaluates tools, and drives process improvements. Leads event design (agenda, formats, attendee flow, networking) and ensures brand-consistent participant communications. Acts as primary operational liaison to internal stakeholders (academic, development, communications, exec leadership); prepares briefings and post-event recaps. Develops templates, SOPs, and performance-tracking to enable scalable operations and continuous improvement. Requires 4+ years in relevant field, strong PM and stakeholder management skills, and ability to work across in-person and virtual formats. Travel for on-site delivery and coordination is part of the role. Preferred familiarity with IHS tech stack and academic settings; alignment with IHS mission is valued. Required Qualifications
- 4+ years of experience in event management, program operations, or a closely related field
- Demonstrated expertise in event logistics and execution across in-person and virtual formats
- Hands-on experience with event and operations technology, including proficiency with at least one registration or virtual event platform (e.g., Cvent, Hopin, Whova) and a CRM
- Strong project management skills
- Strong interpersonal and communication skills, with demonstrated cross-functional collaboration and stakeholder management
- Demonstrated ability to manage complex, ambiguous, and time-sensitive programs and exercise sound judgment
- High degree of organization and detail orientation, with the ability to manage multiple overlapping programs simultaneously
- Experience with data-informed decision-making and performance tracking
