Job Summary
Direct and coordinate all front office activities, including building management liaison, vendor services, and office supply procurement. Manage administrative workflows by processing artist contract reviews, deposits, invoices, accounts payable/receivable, cash ordering, and Brinks deposits. Serve as the primary liaison to senior management, internal teams, and clients to facilitate objectives, while screening calls and responding to requests for information. Prioritize multiple projects simultaneously, summarize miscellaneous reports, and prepare presentation materials in a fast-paced environment. Maintain strict confidentiality regarding sensitive materials and ensure all actions are completed promptly and efficiently.
Required Qualifications
- Minimum 2 years prior experience in an administrative role
- Strong computer skills and proficiency with the internet/web applications, MS Word, Excel, and PowerPoint
- Professional level writing, grammar, and spelling skills
- Excellent communication skills and professional phone etiquette
- Strong people skills and a warm, approachable demeanor, with the ability to foster a positive, welcoming, and collaborative office environment
- Ability to work both independently and collaboratively in an extremely fast-paced environment and handle tight deadlines
- Must be able to handle confidential and sensitive material with discretion
- The ability to multitask, organize, and handle last-minute projects
- Proactive Team Player with a positive attitude
