Job Summary
Format briefs, pleadings, and correspondence; file legal documents with state and federal courts; proofread all documents for accuracy before distribution. Update and maintain client files while managing attorney calendars in Outlook and Milana Docketing. Coordinate travel arrangements, enter and review timekeeper timesheets, and prepare attorney reimbursements and mileage. Review vendor invoices, prepare check requests, and submit pre-bills for client or accounting payment. Requires e-filing knowledge, proficiency with Lexis Nexis, Westlaw, Pacer, and MS Office, and a minimum of 5 years of legal secretary experience. Hourly rate range is $29.44 - $46.15. Fulltime hybrid role in Portland, Maine.
Required Qualifications
- Minimum of a high school diploma
- A minimum of five years of experience as a legal secretary
- Proficiency with Lexis Nexis, Westlaw, Pacer, ECF, iManage or a document management system, Milana Docketing, and Concur
- Demonstrated knowledge of legal terminology, legal documents, and legal processes in the Litigation Department, including the ability to mark and generate a table of contents and table of authorities
- Accurate typing at a net speed of 65+ wpm
- Strong computer proficiency in the use of MS Office (Word, Excel, PowerPoint, and Outlook), Time Entry, e-filing and database software
