Job Summary
Manage therapist-to-client scheduling, authorization tracking, and service continuity to ensure every client receives authorized hours and every therapist has a manageable schedule. Match therapists to clients based on availability, location, language, and clinical compatibility while building accurate weekly and monthly schedules. Proactively resolve cancellations, time-off, and client changes with same-day turnaround, monitor caseload capacity, and track authorization hours to prevent revenue loss. Serve as the primary contact for therapists, BCBAs, and families regarding logistics and session confirmations, coordinate with clinical supervisors on treatment goals, and partner with intake for new client onboarding. Maintain precise records in scheduling systems and generate weekly reports to flag trends in cancellations and no-shows for workforce planning.
Required Qualifications
- High school diploma or equivalent
- Associate's or Bachelor's degree
- 1 to 2 years of experience in scheduling, care coordination, administrative operations, or a related field
- Demonstrated ability to manage multiple priorities in a fast-paced, high-volume environment
- Strong proficiency with scheduling systems, EHR or case management platforms, and Microsoft Office / Google Workspace
- Excellent written and verbal communication skills
- High attention to detail with a low tolerance for data errors or scheduling inaccuracies
Desired Qualifications
- Experience in a healthcare, behavioral health, home care, or LBA setting
- Familiarity with Medicaid authorization processes and service hour tracking
- Experience with LBA-specific platforms (e.g., Central Reach, Catalyst, Theralytics, or similar)
- Bilingual candidates (English/Spanish or English/Haitian Creole)
