Job Summary

Process and monitor Criminal History Record Check requests, track Live Scan submissions, and maintain accurate caregiver compliance records to support onboarding and audit readiness. Conduct routine audits of caregiver files, identify documentation gaps, and prepare for internal reviews and regulatory surveys. Coordinate day-to-day office operations, manage supplies and mail distribution, and maintain ACD classroom readiness for recruitment and certification activities. Greet visitors, direct candidates, and support internal teams with administrative workflows and facility needs. Maintain organized files, manage office budgets, and ensure a safe, clean environment for caregivers and staff.

Required Qualifications

  • High school diploma or equivalent
  • Must be able to work onsite five days per week
  • Ability to maintain confidentiality and handle sensitive information in accordance with HIPAA and NYSDOH requirements

Desired Qualifications

  • 1-2 years of experience in healthcare administration, home care, compliance, or caregiver onboarding
  • Previous office management or office administration experience
  • Experience working with New York State Department of Health (NYSDOH) regulations
  • Experience processing Criminal History Record Checks (CHRC) or other background screening processes
  • Experience using Time Tap, Salesforce, Microsoft Office, Docusign, or similar systems
  • Administrative support in a regulated healthcare environment
  • Experience supporting multiple departments in a fast-paced office setting
  • Strong organizational, administrative, and time management skills, with the ability to manage multiple priorities in a fast-paced office environment
  • High attention to detail, including the ability to maintain accurate records, audit documentation, and identify compliance gaps
  • Strong customer service and interpersonal skills, with the ability to support caregivers, candidates, visitors, and internal teams professionally
  • Ability to coordinate day-to-day office operations, maintain organized files and records, and support multiple departments
  • Sound judgment and problem-solving skills, with the ability to work independently and collaboratively
