Job Summary
Proactively partner with internal and external clients to understand needs, recommend solutions, and deliver seamless, high-quality service. Triage and manage on-site requests, quickly allocating resources and leveraging firm tools to keep work moving efficiently. Coordinate depositions, arbitrations, meetings, conference rooms, meals, materials, and visitor needs. Oversee mailings, printing, copying, binders, document delivery, and quality control. Manage expense-report delegation and provide overflow support for partner and senior counsel calendaring and travel. Provide on-site notary services and client/visitor assistance. Identify operational needs and partner with leadership and shared-service teams to resolve issues. Maintain a professional, responsive presence while contributing to team collaboration and operational excellence.
Required Qualifications
- Exceptional command of English, with strong grammar, punctuation, style, and legal terminology
- Polished, professional communication across phone, email, chat, and virtual platforms
- Confident handling of high-volume requests, competing priorities, challenging conversations, and shifting demands
- Strong analytical, problem-solving, facilitation, and negotiation skills, with a creative approach to unique challenges
- Highly organized, self-motivated, detail-oriented, and results-driven
- Able to work independently and collaboratively while guiding peers and influencing outcomes without formal authority
- Customer-focused and committed to delivering responsive, solutions-driven service
- Thrives in fast-paced, high-pressure environments and centrally managed team settings
- High school diploma or equivalent
- One to three years of experience in a professional setting
Desired Qualifications
- Notary Public certified
- Law firm experience
