Job Summary
Manage full and active calendars for partners and attorneys, anticipating conflicting needs and prioritizing commitments with tight deadlines. Review prebills, coordinate time entry captures, and correct narrative edits while maintaining compliance with firm policies. Setup and maintain case files in NetDocuments, create closing sets, and coordinate conferences involving multiple time zones. Draft legal documents, oversee new client requests, and screen calls from attorneys, clients, and outside contacts. Coordinate domestic and international travel, securing transportation and arranging accommodations. Process conflict checks, submit expense reports, and manage attorney time entries. Foster relationships across departments including Accounting, Billing, and Document Services to ensure seamless support.
Required Qualifications
- High School Diploma or equivalent
- Minimum of 3-5 years of legal secretarial experience
- Demonstrates and focuses on high level of internal and external client services
- Thorough knowledge of the proper preparation of client bills and conflict-checking forms
- Ability to type at least 70 words per minute with accuracy
- Advanced knowledge of MS Word (e.g., formatting, paragraph numbering, Styles, Paste Special, Header and Footers, Footnotes, Tables, Table of Contents, Track Changes and Mail Merge)
- Proficient in Microsoft Office Suite; NetDocuments; ChromeRiver; Intapp; iTimekeep; Adobe Acrobat
- Excellent written and oral communication skills, including grammar, spelling and punctuation

- Familiarity with legal filing and record-keeping practices
- Strong organizational skills
