Job Summary
Legal Secretary for Commercial, Criminal & Property practice handling a broad, varied role that supports the Principal Solicitor and Practice Manager. Key duties include preparing, formatting, and amending legal documents and contracts; managing diary and scheduling; handling conveyancing documentation and property searches; coordinating settlements via PEXA; drafting Wills and Powers of Attorney; financial administration using Xero; client-facing duties with emphasis on confidentiality and high-quality service. Requires minimum 5 years’ legal secretarial/assistants experience, advanced Smokeball and PEXA skills, ability to manage high-volume matters, and strong proficiency in Microsoft Office and document formatting.
Required Qualifications
- Minimum 5 years' experience as Legal Secretary, Legal Assistant, or Conveyancing Secretary
- Proven experience supporting solicitors in a busy legal practice
- Experience preparing estate planning documents including Wills and Powers of Attorney
- Demonstrated ability to manage high-volume legal matters across multiple practice areas
- Advanced proficiency in Smokeball and PEXA
- Experience with Xero for financial administration
- Advanced proficiency in Microsoft Word, Outlook, Excel, PowerPoint, and Teams
- Fast and accurate typing with strong document formatting capabilities
- Excellent written and verbal communication skills
- Professional presentation with a client-focused approach
- Capable of working both independently and collaboratively within a team
- High level of discretion and confidentiality in handling sensitive legal and client information
