Job Summary
Greet visitors and employees, answer incoming telephone calls following firm etiquette, and maintain visitor and guest security procedures. Schedule meeting rooms, ensure they are equipped with necessary supplies and video conferencing tools, and manage calendars to assist in meeting deadlines. Provide exceptional customer service to law partners, paralegals, and administrative assistants while performing light clerical duties such as preparing documents, maintaining files, and organizing supply rooms. Serve as a firm concierge by familiarizing yourself with the area, restaurants, and coffee houses, and order supplies when necessary. Maintain a professional appearance, cleanliness of the firm lobby, and an organized workspace.
Required Qualifications
- US Citizen or Green Card Holder
- High school diploma or equivalent
- 1-2 years of experience in a similar role, preferably within a legal environment
- Excellent communication and interpersonal skills
- Strong organizational skills and attention to detail
- Ability to work independently and manage multiple tasks
- Proficiency in Microsoft Office and basic computer applications
- Must be fully vaccinated and provide proof on the first day
- Experience in mailroom operations and ordering supplies
- Ability to perform clerical tasks and provide administrative support
- Strong customer service skills
- Dress code is business professional in black attire
