Job Summary

The Legal Practice Specialist supports Health and Life Sciences and Corporate practice groups by delivering high-level administrative and legal support to assigned attorneys. Responsibilities include document preparation (editing, proofreading, redlining), managing attorney Outlook email and calendar reminders, ensuring accuracy of contacts and billing databases, coordinating meetings and logistics (video/audio conferencing, room assignments, catering), inputting and editing attorney time entries to align with billing guidelines, managing prebills and client billings, overseeing expense reports and vendor invoices, maintaining paper and electronic files per Firm policy, handling client intake and conflict inquiries, maintaining CRM data, and delegating administrative tasks to the support team. Requires at least three years of legal experience, knowledge of court rules and civil procedures, strong Microsoft Office skills, excellent written and verbal communication, exceptional client service, organizational and time-management abilities, ability to handle confidential information, and the ability to work in a fast-paced environment with travel as needed.

Required Qualifications

  • At least three (3) years of legal experience
  • Knowledge of court rules and civil procedures in State and Federal jurisdictions, including experience with electronic filing
  • Knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint and Word)
  • Strong written and verbal communication skills; professional demeanor and presentation
  • Strong client service skills with high-level standards of excellence in work product to meet or exceed client and Firm expectations
  • Strong organizational skills, time management skills, and attention to detail
  • Ability to work under tight deadlines and prioritize responsibilities
  • Strong problem-solving skills with ability to take initiative and use good judgment and excellent follow-up skills
  • Ability to maintain and handle confidential and sensitive information with discretion and diplomacy
  • Ability to work effectively in a fast-paced environment
  • Travel, as required
  • Knowledge of trial procedures including managing databases, filing in various jurisdictions, and other aspects of trial preparation
