Job Summary

Manage diaries, phone calls, and workflows while scheduling internal and external meetings, arranging travel, and handling correspondence. Coordinate local and overseas business activities, assist in drafting legal documents and presentation materials, and prepare bills and timesheets for fee-earners. Maintain client information, case files, and the legal database on the firm's document management system, ensuring accurate record keeping and file retrieval. Communicate effectively with management and clients to deliver on-time service, working cooperatively with other legal secretaries and support departments. Requires strong Japanese and English skills, proficiency in Microsoft Office, and the ability to work beyond office hours as needed.

Required Qualifications

  • Degree/Diploma holder or completion of formal secretarial training
  • Legal secretarial experience from well regarded law firms
  • Strong communication skills in both written and spoken Japanese and English
  • Strong computer skills and excellent typing skills
  • highly proficient in Microsoft Office i.e. Word, Excel, Outlook, PowerPoint etc.
  • Strong interpersonal skills to interface with internal and external clients
  • High energy, efficient, highly organized, self-motivated, strong sense of responsibility, willing to help others
  • Detail-oriented; ability to multitask and work independently under pressure
  • Flexibility to work beyond office hours as required

Desired Qualifications

  • experience ideally in Finance / Corporate and Securities practice
  • Practical experience in Aderant suite or similar accounting system
