Job Summary
The Intermediate Legal Assistant (Tax) supports legal administrative operations for a U.S.-oriented Canadian law firm environment, coordinating new business intake and file opening, drafting and finalizing documents from precedents, managing document workflows, and maintaining client/matter management systems. Responsibilities include drafting engagement letters, conducting conflict searches, updating CRM records, managing calendars and travel logistics for multiple lawyers, assisting with billing and invoicing cycles, processing financial forms and expense reports, handling client inquiries, and supporting cross-region matters and audits. The role emphasizes proactive, client-first, detail-oriented, and confidential support, with collaboration across teams and independent task management. Desired experience includes 4–7 years in a law firm as a legal assistant or administrator in tax, advanced computer skills, familiarity with Athennian or corporate registry platforms, knowledge of corporate documents and ISC requirements, and ability to prepare and organize commercial contracts and closing books.
Required Qualifications
- Completion of a recognized legal support program (Legal Assistant, Law Clerk, Paralegal) preferred or equivalent
- 4 to 7 years of law firm experience in a legal assistant or legal administrative role in tax
- Advanced digital dexterity and proficiency with legal technology applications (Microsoft Office Suite, secure file sharing, CRM platforms)
- Proficient understanding of common legal documents and procedures related to tax
- Proficiency with legal software and platforms related to tax practice
- Proficiency with document management systems and law firm financial systems
- Ability to manage a deadline-driven workflow with limited supervision; strong organizational skills; attention to detail
- Excellent grammar, proofreading, and professional communication; reliability and confidentiality
- Ability to work collaboratively and independently
- Knowledge of corporate registry platforms (Athennian or similar) and due diligence searches
- Experience with closing books for transactions and preparing accounting-related documentation related to wires/trust funds
- Support preparation and organization of commercial contracts, NDAs, vendor agreements; familiarity with ISC requirements
