Job Summary

Receive and transfer telephone calls, answer routine inquiries, and process incoming mail including correspondence from parties or attorneys. Review incoming probate case material to ensure completeness, input data into docketing systems, and maintain orderly case files from initial filing to completion. Use online databases to retrieve information, review outgoing documents for errors, and coordinate travel arrangements and conference facilities. Order supply inventories and maintain equipment such as copiers and shredders. This position supports the Department of the Interior, Office of the Secretary, DAS-Administrative Services, Office of Hearings and Appeals, Probate Hearings Division.

Required Qualifications

  • Minimum of 5 year(s) of experience
  • AA Degree
  • Experience sorting, categorizing, and distributing mail
  • Experience with filing electronic and paper records
  • Ability to use common software to produce reports, correspondence, spreadsheets, and keeping calendars
  • Familiarity with entering data into databases
  • Superior customer service skills
  • Attention to detail
  • Familiarity with arranging travel via online systems
  • Acting as timekeeper or other payroll-focused skills
  • Experience with Windows
  • Experience with MS Word
  • Experience with MS Excel
  • Experience with MS Teams
  • Experience with MS Outlook
  • Legally eligible to work in the United States
  • Ability to receive and transfer telephone calls
  • Ability to answer basic and routine questions and inquiries from interested parties
  • Ability to prepare and send faxes and electronic mail
  • Ability to prepare and review time and attendance records
  • Ability to process all incoming mail, including correspondence from parties or attorneys, return mail from notices and decisions, and additional document submissions from agencies or other parties
  • Ability to copy, mail, and scan relevant documents
  • Ability to review incoming probate case material to ensure it is current and complete
  • Ability to maintain case files from initial filing to completion
  • Ability to correctly input data into the docketing system on a timely basis
  • Ability to search various system records when additional information is required
  • Ability to maintain complete and orderly files in a manner that expedites retrieval
  • Ability to understand and ensure that record and privacy requirements are followed
  • Ability to use online legal, tracking, or other resources and databases to obtain information
  • Ability to retrieve and input data into electronic docketing systems
  • Ability to perform administrative duties using electronic databases, systems, and software
  • Ability to review outgoing decisions, notices, and other documents for grammatical and spelling errors
  • Ability to coordinate travel arrangements
  • Ability to prepare travel authorizations
  • Ability to prepare vouchers in a timely manner
  • Ability to arrange facilities for conferences and hearings
  • Ability to prepare presentation material or background documentation
  • Ability to order and maintain adequate supply inventories
  • Ability to track property
  • Ability to ensure equipment such as copiers, faxes, and shredders are maintained in good working order
