Legal Administrative Assistant (JCM)

Job Summary
Produce legal documents, manage time entries, and coordinate travel plans and meetings for assigned attorneys. Handle incoming and outgoing mail, process expense reports, and maintain paper and electronic files in compliance with firm policies. Screen client calls, take messages, and prepare billing letters while ensuring all attachments and exhibits are included. Coordinate client dates with the Calendar/Docket Department, schedule conference rooms, and manage contact databases. Submit daily time entries and expense reimbursement requests to Accounting, tracking matter budgets and alternative fee arrangements. Maintain chronological and administrative files, retrieve documents as needed, and proactively anticipate business needs to meet deadlines. Work five days in the office under the direction of attorneys and the LAA Supervisor.
Required Qualifications
- High School diploma or equivalent
- Strong computer skills with Microsoft Word and Outlook
- Experience with file document management tools such as FileSite or WorkSite
- Minimum of five (5) days in the office
- Regular and predictable attendance
- Strong verbal and written communication skills
- Self-motivated with excellent organizational skills and attention to detail
- Ability to multitask in a fast-paced and dynamic environment
- Strong professional, independent thinking skills with strength in problem solving
- Ability to offer constructive opinions and creative solutions
- Team player who motivates and educates other team members
- Close vision
- Ability to regularly lift and/or move up to 10 pounds
- Ability to occasionally lift and/or move up to 25 pounds

- Ability to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl
Desired Qualifications
- College or business school
- 3-4 years LAA experience or equivalent
- Prior experience in the assigned practice area(s)
- Strong computer skills with PowerPoint
- Law firm experience
