Job Summary
Provide administrative support to attorneys, patent agents, and paralegals in an Intellectual Property practice. Manage IP-related documents, deadlines, and client communications; file patent and trademark applications with the USPTO and foreign IP offices; maintain organized case files and secure document storage. Responsibilities include calendar and deadline management, drafting and managing correspondence, processing billing and time entries, preparing client-meeting materials, handling mail, and performing IP research. Proficiency in IP docketing software and familiarity with USPTO systems are important. Office hours are Monday–Friday, 8:30 a.m.–5:00 p.m., in Costa Mesa, CA. Minimum 4 years of IP-related administrative experience required; strong organizational, time-management, and communication skills essential. Competitive hourly compensation of $35-$45 with a benefits package; equal employment opportunity employer.
Required Qualifications
- At least 4 years of administrative experience in a law firm or legal department with IP experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiarity with IP docketing systems and USPTO processes is a plus
- Excellent verbal and written communication skills
- Ability to manage multiple tasks in a fast-paced environment
- Experience handling billing and time entries
- Ability to prepare presentations or materials for client meetings
- Attention to detail and confidentiality in handling IP matters
