Job Summary
On-site Laboratory Records & Administrative Specialist supporting FDA ORTS at multiple U.S. HAF laboratories. Responsible for scanning and converting analytical worksheet packages to OCR-enabled PDFs, uploading to LIMS, organizing electronic and hard-copy records, destruction logging, and general administrative duties. Requires meticulous document management, experience with MS Office, SharePoint, and basic inventory tasks, plus ability to obtain FDA background clearance. Location options include Alameda CA, Jefferson AR, Lakewood CO, Lenexa KS, Jamaica NY, Bothell WA, Irvine CA, and Atlanta GA. Core hours are 8:00 AM–4:30 PM, Monday–Friday, with limited telework possible for certain tasks. Authorized to work in the U.S. without sponsorship; anticipated background check and security clearance as part of FDA requirements.
Required Qualifications
- Authorization to work in the U.S. permanently, without sponsorship
- High school diploma or GED equivalent; associate’s or bachelor’s degree in a related field preferred
- At least 2 years of administrative support or records management experience
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience with document scanning, PDF conversion, and electronic file management
- Ability to obtain FDA background investigation and security access card
- Ability to lift and move boxes up to ~15 lbs
