Job Summary
Laboratory Records & Administrative Specialist at Terrestris supports the FDA ORTS across eight US-based Human and Animal Food Laboratory locations. On-site responsibilities include scanning and converting analytical worksheet packages into OCR-enabled PDFs, uploading to LIMS, organizing electronic repositories, archiving hard copies with labeling and indexing, and coordinating onsite records destruction. The role also provides administrative support such as scheduling via Outlook, recording meeting minutes, and assisting with travel estimates. Proficiency with Microsoft Office Suite, SharePoint, Visio, and Project is required, along with experience in document scanning and electronic file management. Mandatory FDA training (including annual Computer Security Awareness, LIMS, QMiS, Privacy and Records Management, and driver training) is part of the role. The position requires authorization to work in the U.S. with a high school diploma or GED (associate or bachelor’s preferred), at least 2 years of relevant experience, ability to lift up to 15 lbs, and the capacity to operate in a structured, compliance-driven environment. Locations available in Jefferson, AR; Lakewood, CO; Lenexa, KS; Jamaica, NY; Bothell, WA; Irvine, CA; Alameda, CA; and Atlanta, GA. Core hours are Monday–Friday, 8:00 AM–4:30 PM local time, with limited episodic telework for database entry tasks.
Required Qualifications
- Authorization to work in the U.S. permanently, without sponsorship
- High school diploma or GED equivalent; associate’s or bachelor’s degree in a related field preferred
- At least 2 years of experience in administrative support, document management, or a closely related clerical role
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint)
- Experience with document scanning, PDF conversion (Adobe Acrobat or equivalent), and electronic file management
- Ability to obtain and maintain an FDA background investigation and security access card
- Ability to lift and move boxes weighing up to approximately 15 lbs
- Strong attention to detail and accuracy in data entry, indexing, and records tracking
- Ability to work independently in a compliance-driven environment
- Experience with federal laboratory or regulated environment recordkeeping is a plus
- Familiarity with a Laboratory Information Management System (LIMS) or similar database is a plus
