Laboratory Administrative Coordinator

Job Summary

Manage daily operations for the Embryology Laboratory by serving as the central administrative resource for patient inquiries, scheduling embryo transfers, and maintaining accurate EMR progress notes. Coordinate clerical functions including drafting correspondence, filing patient records, and managing the Assistant Director's calendar while ensuring strict adherence to regulatory compliance. Track laboratory inventory for cryopreserved embryos, generate purchase orders, and update monthly QA/QC sheets to support operational efficiency. This onsite role requires strong interpersonal skills, attention to detail, and the ability to work independently in a multidisciplinary team environment.

Required Qualifications

  • High school diploma or equivalent
  • Minimum one year admin medical office experience
  • Ability to build good patient relationships through trust, proactive engagement, and effective problem-solving
  • Superior computer skills
  • Intermediate to advanced knowledge in Microsoft Word
  • Intermediate to advanced knowledge in Excel
  • Intermediate to advanced knowledge in Access
  • Intermediate to advanced knowledge in Outlook
  • Intermediate to advanced knowledge in PowerPoint
  • Understanding of the Internet
  • 25 wpm keyboard skills
  • Ability to communicate accurately and concisely
  • Verbal and written communication ability
  • Ability to plan, organize, and effectively present ideas and concepts
  • Aptitude to work independently and demonstrate good judgment
  • Ability to multi-task and prioritize assignments
  • Excellent focus and attention to detail
  • Ability to understand and interpret pertinent policies and procedures clearly and accurately
  • Onsite position Monday through Friday
  • Ability to work occasional overtime
  • Ability to work holiday rotation
  • Ability to work weekend rotation

Desired Qualifications

  • Associates' or bachelor's college degree in a science-related field
