Key Account Management Specialist

Job Summary

Manage customer orders by accurately entering and tracking them in the ERP system, coordinating with production, warehouse, and logistics teams to ensure timely fulfillment. Act as the primary contact for key accounts, resolving order discrepancies, shortages, and shipping delays while generating invoices and processing adjustments. Collaborate with inventory and demand planning teams to identify stock shortages, maintain order forecasts based on customer demand, and support internal and external audits. Requires a Bachelor's degree in Supply Chain Management or related field, 2+ years of order management experience, and proficiency in ERP systems. Full-time on-site position in Ayer, MA.

Required Qualifications

  • Bachelor's Degree in Supply Chain Management, Business or a related field
  • 2+ years of experience in order management, customer service, or supply chain roles preferably in food manufacturing
  • Strong analytical ability
  • Proficiency in ERP systems (SAP, Oracle, etc.), Microsoft Office (Excel, Word, Outlook), and order tracking tools
  • Strong attention to detail
  • Problem-solving abilities
  • Excellent communication
  • Ability to work in a fast-paced environment
  • Experience with EDI using customer portal for order management
  • Collaboration with 3PL warehouses
  • Understanding of customer demand and ordering patterns, including promotions
  • Support for production planning through sales data analytics
  • Ensuring all orders comply with food safety regulations, labeling requirements, and company policies
  • Maintaining accurate records of orders, shipments, and customer interactions for auditing and reporting purposes
  • Supporting internal and external audits by providing necessary order-related documentation
  • Acting as the main contact for key account/customers on order status, delivery updates and issue resolution
  • Working closely with sales and account managers to align on customer expectations and special requests
  • Addressing customer inquiries related to order discrepancies, shortages, and shipping delays
  • Collaborating with inventory and demand planning teams to ensure order accuracy and product availability
  • Identifying and escalating potential stock shortages, production delays, or quality issues that may impact order fulfillment
  • Assisting in maintaining order forecasts based on customer demand and historical trends
  • Full-time, on-site position located in Ayer, MA
  • Remote or hybrid work options are not available

Desired Qualifications

  • Familiarity with food industry regulations (FDA, USDA, HACCP) is a plus
