Job Summary
Bilingual Fleet Maintenance Coordinator responsible for coordinating and executing maintenance and repair activities for fleet assets, managing preventive maintenance schedules, work orders, and vendor relationships, and ensuring compliance and accurate records in Fleet Management Systems (Ultimo and/or Truckmate). Leads PO issuance to vendors based on validated estimates and monitors estimate-to-actual variance to control costs, while acting as the primary liaison between Fleet and Operations for load planning. Requires scheduling PM and CVI, coordinating emergency repairs, maintaining asset histories, ensuring data integrity, and communicating with internal stakeholders and external vendors in a fast-paced environment. Also supports invoicing, accruals, warranty opportunities, and adherence to DOT/FMCSA or NSC regulations; role emphasizes strong organization, attention to detail, and bilingual communication. Schedule is Monday–Friday 7:00am–3:00pm with Hybrid work arrangement.
Required Qualifications
- Bilingual in French and English
- 3–5 years of experience in fleet maintenance coordination or related field
- Knowledge of tractors, trailers, chassis, reefers, and gensets
- Familiarity with DOT/FMCSA or NSC regulations
- Experience with Fleet Management Systems (Ultimo or Truckmate)
- Strong organizational and communication skills
- Proficiency in Microsoft Office; experience with reporting tools preferred
