Job Summary
The IT Procurement Specialist owns the full lifecycle of hardware procurement and software asset management for XPERTECHS clients and internal systems, bridging purchasing, licensing compliance, and vendor relationships to ensure tools are fully licensed and delivered on time. Partners with Projects Team, NOC/SOC Team, vCIOs, CTAs, and technical teams while serving as the single point of contact for vendor and distributor relationships. Responsibilities include obtaining and negotiating vendor quotes, creating purchase orders, maintaining inventory, coordinating software lifecycle from request to retirement, coordinating software licensing, renewal/true-up, and renewals; driving internal sales processes from proposal through signature, building detailed costed proposals with margins, and collaborating with clients and vCIOs on future needs. Requires strong procurement foundation, software licensing knowledge (Microsoft 365, CrowdStrike, Adobe, Bluebeam, SonicWall, Cisco Meraki, Check Point, among others), and experience in an MSP environment. Demonstrates strong analytical and financial acumen, process excellence, and effective cross-functional communication; readiness to optimize procurement processes and support client experiences.
Required Qualifications
- Associate’s Degree (Bachelor’s degree preferred)
- At least 2 years in purchasing and business operations experience in a small or mid-sized business
- MSP or technology services industry experience strongly preferred
- Ability to communicate in technically specific terms about technologies used by clients (Windows Server, Microsoft Exchange Server, HP Servers, Router/Switches, Firewall Appliances, VoIP and IP environment, CAT5e/CAT6 infrastructures)
- Strong vendor negotiation skills: value-based renewal strategy, price protection, and bundling
- Familiarity with ConnectWise Manage and ConnectWise Sell (or equivalent PSA/quoting tools)
- Excellent written and verbal communication skills
- Highly detail-oriented with strong organizational, multi-tasking, and prioritization skills
