Job Summary
Manage the Medical Records/Intake program by planning operations, developing policies, and ensuring client file accuracy and completeness. Coordinate outpatient office coverage, schedule appointments for clinicians, and screen admissions using the Avatar system. Handle daily scanning, sorting terminated records, and maintaining confidentiality while responding to emergency situations. Process billing documents, verify insurance coverage, and enter medications and vitals into the electronic health record. Assist staff with new policy updates and perform general clerical duties including copying, faxing, and mailing. Maintain medication storage logs and dispose of outdated samples per policy. Answer telephone inquiries, greet consumers, and place follow-up calls for missed appointments. Work Monday through Friday with evening and weekend availability as needed.
Required Qualifications
- High School Diploma or GED
- computer and typing skills
- Organizational skills
- submitting to and passing successfully a criminal record check

- Ability to exercise good judgment, tact, diplomacy and compassion when problem solving, handling conflict or in a crisis situation
- Ability to complete record keeping in a timely fashion
- Ability to get along with diverse personalities and maintain effective working relationships
- Ability to work well with people of all races, backgrounds and needs
- Ability to work as part of a comprehensive community mental health team and to positively represent the agency in the community
- Physically able to reach, push, pull, stoop, bend, stand, walk and lift up to 20 pounds
- Possess a valid Driver's License
- maintain a safe driving record
- Apply and receive a certificate for being a Notary in the State of Kentucky
- participate in yearly trainings regarding infection control and safety in the environment including hazardous waste and blood borne pathogens
- receive training regarding handling physical, verbal threats, acts of violence or other escalating and potential dangerous situations including when police need to be summoned
- certified in Cardiopulmonary Resuscitation
- maintain the certification [for CPR]
