Intake Coordinator

Job Summary
Intake Coordinator to be the first point of contact for clients seeking mental health services. Responsibilities include managing referrals, conducting intake screenings, scheduling appointments, verifying insurance eligibility, maintaining accurate documentation in the EHR, and ensuring a smooth onboarding experience for clients and families. Must communicate with referral sources, hospitals, schools, and families, explain agency programs and policies, monitor intake pipelines, and ensure HIPAA compliance. The role also involves coordinating with clinical and administrative staff, assisting with front-office duties, and may require traveling to client homes to obtain signatures when needed; strong customer service, organization, and confidentiality are essential.
Required Qualifications
- High school diploma or GED required
- Associate’s or Bachelor’s degree in Healthcare Administration, Social Work, Psychology, Human Services, or related field preferred
- Minimum of 1–2 years of administrative, intake, healthcare, or behavioral health experience preferred
- Experience working with Medicaid, managed care organizations, or behavioral health services preferred
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
- Ability to handle sensitive information with discretion and professionalism
- Knowledge of medical terminology and behavioral health services preferred
- Proficient in Microsoft Office, Google Workspace, and EHR systems
- Ability to work independently and as part of a team
- Strong problem-solving and customer service skills
- Physical ability to sit for extended periods
- Frequent use of computers, phones, and office equipment
- Ability to occasionally lift up to 15 pounds
