Information Governance Specialist II

Job Summary

Prepare new files physically and within the records management system, providing correct data entry and identification for new records. Check out files to appropriate persons, track their location in the system, and perform location audits to detect discrepancies between index entries and physical documents. Proactively review system content to recognize and correct errors, coordinate box archiving and offsite storage procedures, and maintain consistency between vendor and firm databases. Organize large document collections in central filing areas and communicate with attorneys to expedite destruction or transfer of dormant cases. Protect sensitive, confidential, and privileged information while processing vendor invoices and assisting with file releases and data access requests. Requires in-office presence Monday through Friday for the first six months, followed by a flexible hybrid schedule.

Required Qualifications

  • A bachelor's degree or equivalent
  • Three (3) years of relevant Information Governance or Records experience
  • Possess knowledge of information governance, data security and privacy principles, best practices, and procedures
  • Ability to consistently follow procedures
  • Display attention to detail in all work activities
  • Demonstrate thorough knowledge of the physical and electronic resources of the department and firm
  • Ability to understand and articulate the role of effective space management in the overall administration of the office
  • Display well-developed interpersonal skills
  • Ability to effectively interact with attorneys, management, support staff, and outside contacts (including clients)
  • Must be able to lift 50 lbs
  • Must be available for weekend shifts
  • Valid driver's license

Desired Qualifications

  • Three (3) years of relevant Information Governance or Records experience may be considered in lieu of a degree
  • Experience in other law firm, archival or library research positions having significant document organizational responsibilities may be considered in lieu of directly related Information Governance or Records experience
