Job Summary
Information Governance & Records Specialist manages physical client files for the Beverly Hills office, coordinates with off-site storage, supports attorneys and staff across Beverly Hills and New York via remote electronic records support, assists with iManage maintenance and ongoing records program development, supports implementation of an incoming records management system, and handles retention schedules, destruction logs, legal holds, and practice-support database management. The role involves collaborating across offices, backup support to the Facilities/Office Support Supervisor, and handling general office operations. The ideal candidate brings 3–5 years of records experience, familiarity with iManage or similar DMS, experience coordinating with storage vendors, strong organizational skills, professional communication, flexibility in evolving processes, and the ability to lift 25–30 lbs. High School Diploma or GED is required; a degree or CRM/IGP certification is a plus.
Required Qualifications
- 3 to 5 years of records experience in a law firm or professional services environment
- Familiarity with iManage or a comparable document management system; prior law firm DMS experience preferred
- Experience coordinating with off-site records storage vendors
- High School Diploma or GED required; relevant degree or CRM/IGP certification a plus
- Ability to lift and carry up to 25–30 lbs in connection with records and office supply handling
- Ability to bend, stoop, and reach in connection with file and supply management activities
- Ability to sit or stand for extended periods
