Job Summary
Design and implement a company-wide information management architecture within Microsoft 365, defining metadata frameworks, taxonomy standards, and access control models. Lead the development and operation of the Document Management System, establishing governance for document lifecycle, version control, and classification. Translate legal, regulatory, and security requirements into compliant-by-design solutions for retention, archiving, and records management. Automate digital workflows for approvals and electronic signatures while managing external vendors and implementation partners. Deliver training programs and user documentation to drive adoption of information governance tools across the organization.
Required Qualifications
- Strong experience in designing information architectures and document management solutions, including structured storage, collaboration, and lifecycle concepts.
- Hands-on expertise in Microsoft 365, particularly SharePoint, with familiarity in modern tools such as Copilot Studio or comparable platforms.
- Solid understanding of data structures, metadata models, and access management concepts, with the ability to design scalable and user-friendly solutions.
- Experience in establishing governance frameworks and applying 'compliance-by-design' principles within systems and processes.
- Good understanding of system integrations and application landscapes, including how to connect information management solutions with business systems (e.g. ERP, databases, SaaS tools).
- Proven ability to design and implement automated workflows and digital processes, improving efficiency and standardisation.
- Experience in driving user adoption and delivering training/enablement, ensuring effective and consistent usage of systems across the organisation.
- Experience in working with external vendors or implementation partners, ensuring quality delivery and alignment with requirements.
- Awareness of information security, data protection, and risk mitigation practices, and ability to incorporate them into system design.
- Excellent communication skills, with the ability to act as the central coordination point between business stakeholders and external IT providers for information management and governance activities.
