Job Summary

Verify receipt of all inpatient and outpatient discharged records, follow up on missing files, and ensure timely delivery. Prep paper charts for scanning by confirming patient details on every page, repairing damaged documents, and removing staples or clips. Scan all paper documents within each medical record, troubleshooting scanner repairs, ordering parts, and performing routine maintenance. Maintain daily scanning logs and weekly reports for data collection. Train new staff, assist customers, and serve as a resource for policies and procedures. Use, protect, and disclose patient protected health information only in accordance with HIPAA standards.

Required Qualifications

  • High School graduate or equivalent
  • At least 2 years' experience in a medical record department
  • Previous medical record experience
  • Proficiency in Microsoft Office Suite
  • Excellent written and verbal communication skills
  • Ability to work weekends and/or holidays on a rotating schedule
  • Must possess a smart-phone or electronic device capable of downloading applications, for multifactor authentication and security purposes
  • Ability to move around the work area
  • Ability to sit
  • Ability to perform manual tasks
  • Ability to operate tools and other office equipment such as computer, computer peripherals and telephones
  • Ability to extend arms
  • Ability to kneel
  • Ability to talk and hear

  • Knowledge of HIPAA guidelines
  • Ability to work with physicians and other healthcare providers
  • Strong attention to detail
  • Initiative to repair forms as needed such as torn, wrinkled, folded and dog-eared pages
  • Ability to ensure the integrity of the legal medical record by removing all staples and paper clips, identify and separate multi-part forms prior to scanning the original
  • Ability to copy all damaged documents so that they are fed through the scanner without difficulty
  • Ability to scan all paper documents within each medical record
  • Ability to troubleshoot repairs and routine maintenance of scanner
  • Ability to replace and order parts
  • Ability to take appropriate action when the scanner is not working properly
  • Ability to clean the scanner with appropriate cleaning solution and materials
  • Ability to maintain daily scanning logs and weekly reports of activity for data collection
  • Ability to train new staff and promote teamwork while providing assistance to customers
  • Ability to serve as a resource for other members of the organization in regards to policies and procedures
  • Ability to use, protect and disclose patients' protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards
  • Ability to understand and comply with Information Security and HIPAA policies and procedures at all times
  • Ability to limit viewing of PHI to the absolute minimum as necessary to perform assigned duties
