Job Summary
Assign and dispatch HVAC service and installation jobs in ServiceTitan to maximize efficiency and technician productivity. Monitor daily schedules, make real-time adjustments, and contact customers to schedule appointments and confirm upcoming work. Coordinate inspections, utility disconnects, callbacks, and final job approvals while preparing job packets with proposals and permits. Submit permit applications, track status with municipalities, and utilize GIS tools for parcel mapping. Maintain accurate documentation, expense receipts, and monthly reports through ServiceTitan and Expensify. Resolve customer concerns professionally and escalate recurring issues.
Required Qualifications
- High school diploma or equivalent
- Minimum of 2+ years of dispatching, coordinating, scheduling, or administrative support experience
Desired Qualifications
- Previous experience within HVAC, plumbing, electrical, construction, or other skilled trades environments
- Experience using ServiceTitan
- Proficiency with Microsoft Office Suite, Outlook, Teams, and digital document management tools
- Strong organizational and multitasking abilities with the ability to manage competing priorities
- Excellent verbal and written communication skills
- Strong attention to detail and problem-solving abilities
- Ability to work effectively in a fast-paced, team-oriented environment
- Customer service experience with the ability to professionally resolve issues and maintain positive relationships
