HR Administrative Assistant I, Operations

Job Summary

Process and record all Operations department personnel actions, including new hires, transfers, resignations, promotions, and rate changes. Maintain the department's staffing list, track employee changes weekly, and manage the vacancies dashboard while assisting with FMLA/TD leaves and worker's compensation incidents. Handle incoming calls, route HR inquiries, and prepare employment verification letters. File, store, and scan HR documents, run reports as needed, and cross-train as a backup for other administrative assistants. Assist with recruitment events and communicate with the assistant director of Human Resources. Maintain confidentiality of all information. Requires bilingual proficiency in English/Spanish, Microsoft Office skills, and 244 days of attendance.

Required Qualifications

  • High School Diploma or GED equivalent
  • High level of proficiency in applied technology (Microsoft Word, Excel, Access, etc)
  • Strong organizational, communication, and interpersonal skills
  • Ability to prepare and receive detailed information and apply appropriate decision-making skills
  • Demonstrate personal integrity and ability to maintain a high level of confidentiality
  • Self-motivated, ability to handle multiple tasks, demonstrate leadership ability and work collaboratively
  • Ability to provide outstanding customer service and work with diverse groups
  • Bilingual proficiency (English/Spanish)

Desired Qualifications

  • Experience with human resources programs or comparable experience in a public education environment preferred
