Job Summary
Manage the full contract lifecycle for independent clinical mentors providing instruction to undergraduate nursing students. Secure CVs, store credentials and documentation in the secure system, and confirm completion of onboarding requirements including licensure, CPR, insurance, and background checks. Coordinate site assignments, verify contracted dates and hours, and develop independent contractor agreements with corresponding scope of work using approved templates. Issue invoice forms, collect completed invoices, and verify them against contracts before submitting for payment processing. Track contract status, outstanding documents, and payment submissions while reporting to program leadership. Maintain responsive communication with mentors, the clinical coordinator, and university offices. This role serves as the administrative backbone of the clinical instruction model for the W. Cary Edwards School of Nursing and Health Professions.
Required Qualifications
- Associate degree or higher
- Two (2) or more years of administrative, contract administration, credentialing, or program support experience
- Demonstrated ability to manage recurring, deadline-driven processes with a high degree of accuracy
- Strong written and verbal communication skills and a professional, service-oriented approach
- Proficiency with MS Office (Word, Excel, Outlook), Adobe/e-signature tools, and web-based systems
- Ability to handle confidential contractor information with discretion, consistent with University policy
Desired Qualifications
- Bachelor's degree
- Experience in higher education, healthcare credentialing, or clinical placement coordination
- Familiarity with independent contractor (1099) documentation and invoicing workflows
