Job Summary
Answer incoming telephone calls to the pod, schedule patients for routine, follow-up, and ancillary appointments, and authorize all surgical procedures in eCW and SIS systems. Obtain completed booking forms, signed consents, pre-certifications, and prior authorizations, then communicate all booking requests to the appropriate facility. Coordinate pre-op and post-op appointments, finalize clinic and OR block schedules, and maintain up-to-date patient charts to support clinical workflows. Prepare and mail patient letters, update demographics, and troubleshoot telehealth visits while obtaining outside records as needed. Monitor automated confirmations, follow up with patients who have not confirmed visits, and ensure strict confidentiality in alignment with HIPAA guidelines.
Required Qualifications
- High School Diploma or equivalent
- Proficient in Windows-based systems and Microsoft Office Suite applications, including Word, Excel, Outlook, and PowerPoint
- Professional written and verbal communications skills
- Ability and willingness to provide excellent customer service to patients, InterMed colleagues and vendors
Desired Qualifications
- Previous work experience in a medical office or healthcare setting
- Previous electronic medical record experience
- Detail-oriented with strong analytical and organizational skills
- Excellent professional judgment and decision-making ability
- Able to work both collaboratively and independently to achieve goals
- Demonstrates the ability to prioritize and manage multiple tasks with a high degree of accuracy
