Job Summary
Answer incoming telephone calls to the pod, schedule patients for routine, follow-up, and ancillary appointments, and coordinate all surgical procedures in eCW and SIS. Obtain completed booking forms, consents, and prior authorizations, then communicate booking requests to appropriate facilities. Complete patient appointment forms, print and mail packets, and send questionnaires electronically. Maintain up-to-date paperwork, assist with manual faxing and scanning, and monitor the administrative bucket for prioritized actions. Update patient demographics, create accurate patient charts, and coordinate referrals with timely follow-up. Troubleshoot telehealth visits, obtain outside records from HIM, and reschedule patients for providers out of the office. Check patients out as capacity allows and follow up on missed checkouts. Print specimen labels, AWVs, and visit summaries, then coordinate the faxing of clinical notes to external specialists. Maintain strict confidentiality in alignment with HIPAA guidelines and InterMed policies.
Required Qualifications
- High School Diploma or equivalent
- Proficient in Windows-based systems and Microsoft Office Suite applications, including Word, Excel, Outlook, and PowerPoint
- Professional written and verbal communications skills
- Ability and willingness to provide excellent customer service to patients, InterMed colleagues and vendors
- Detail-oriented with strong analytical and organizational skills
- Excellent professional judgment and decision-making ability
- Able to work both collaboratively and independently to achieve goals
- Demonstrates the ability to prioritize and manage multiple tasks with a high degree of accuracy
Desired Qualifications
- Previous work experience in a medical office or healthcare setting
- Previous electronic medical record experience
