Job Summary

Greet patients, answer phones, and respond to inquiries as the initial point of contact for students, parents, and staff seeking clinical service guidance. Schedule and confirm appointments, coordinate provider calendars, and manage patient flow while maintaining electronic medical records in compliance with FERPA, HIPAA, and university policies. Process patient forms, referrals, and immunization records, and assist clinicians with administrative tasks such as retrieving records and managing correspondence. Coordinate communication between students, providers, campus departments, and external healthcare partners, and support billing processes by verifying insurance status. Maintain office supplies, equipment, and inventory for clinical and administrative needs, and participate in quality improvement activities aligned with university goals. This full-time, 12-month in-person position reports to the Director of Health Services and includes a full slate of university benefits.

Required Qualifications

  • Bachelor's degree in healthcare administration or related field
  • Minimum 1 to 2 years of administrative experience in a healthcare setting
  • Proficiency with standard office software (e.g. Microsoft Office suite)
  • Familiarity with electronic medical record systems (Medicat)
  • Strong communication, customer service, and interpersonal skills
  • Demonstrated ability to maintain confidentiality and comply with statutory regulations (HIPAA, FERPA, etc.)
  • Ability to multitask, prioritize, and work effectively in a fast paced clinical environment
  • Professional demeanor and commitment to supporting diverse student populations
  • Full-time, 12-month in-person position

Desired Qualifications

  • Experience in a post secondary academic or student health services environment
  • Familiarity with student health requirements, immunization compliance, and campus health workflows
  • Basic knowledge of medical terminology
