Job Summary
Office Administrator & Layout Coordinator in the Newspaper Production environment: organize and monitor the workflow through the newspaper’s production process, build page layouts, and manage all administrative and mailhouse duties. Responsibilities include ad trafficking, creating and following up on purchase and receiving orders, presort/eDoc submission, addressing and tabbing, DSCF entry, and distribution of printed materials. Coordinate file delivery to the printer and maintain organized records for audit readiness. Key tasks include building pages in Adobe InDesign, preflighting and exporting press-ready PDF/X-1a, maintaining brand and typographic standards, trafficking ads (intake creative, verify specs, place ads and page sponsorship banners, archive proofs), coordinating with PDX Printing, delivering camera-ready files ≥48 hours before delivery, submitting eDocs via Business Customer Gateway/PostalOne!, generating tray/sack tags, scheduling DSCF entry, addressing and staging mail, maintaining requester list hygiene (CASS/NCOA), creating and following through on POs/receiving and coding to GL, reconciling invoices and maintaining a monthly production budget log, maintaining design/resource files and production calendars, updating job status spreadsheets and internal systems, supporting proofreading, basic web content updates, and community postings, and exploring new technologies (including artificial intelligence) to enhance Marketing operations.
Required Qualifications
- High school diploma or GED required; associate’s or bachelor’s in Graphic Design, Communications, or related field preferred
- 2–4 years of experience in print production/graphic design/mail operations or equivalent
- Knowledge of Macintosh/PC platforms; proficiency with Adobe InDesign, Acrobat, Photoshop, and Microsoft Office
- Working knowledge of USPS Marketing Mail flats preparation, Full‐Service IMb, presort, and DSCF entry
- Strong project management, organization, and communication skills; ability to meet tight deadlines
- Must be at least 21 years old and able to obtain and maintain a gaming license, if required
- Bilingual English/Spanish preferred; Mescalero Apache Tribal preference and bicultural experience preferred
