Job Summary
Manage incoming and outgoing mail, packages, and deliveries while ensuring accurate distribution. Perform accurate data entry and maintain records, spreadsheets, databases, and business documentation. Organize and maintain filing systems, both electronic and paper, including scanning, photocopying, and document management. Welcome and assist visitors, vendors, and guests while maintaining a professional environment. Answer and direct incoming telephone calls, respond to inquiries, and route calls to appropriate departments. Coordinate calendars, appointments, meetings, and events for management and staff. Order, receive, and maintain office supplies while monitoring inventory levels. Prepare reports, correspondence, spreadsheets, and presentations as needed. Maintain organized workspaces and ensure administrative records remain current and accurate. Support multiple departments by prioritizing administrative tasks and meeting deadlines. Handle confidential information with professionalism and discretion. Assist with additional administrative and clerical duties as assigned.
Required Qualifications
- High School Diploma or GED
- 3–5 years of administrative, clerical, office support, or customer service experience
- Experience in data entry, office coordination, or administrative support
- Strong computer proficiency with Microsoft Office applications
- Proficiency in Microsoft Word
- Proficiency in Microsoft Excel
- Proficiency in Microsoft Outlook
- Proficiency in Microsoft PowerPoint
- Strong data entry and database management skills
- Excellent organizational and time management abilities
- Strong verbal and written communication skills
- Professional telephone etiquette and customer service skills
- Ability to manage multiple priorities in a fast-paced office environment
- Strong attention to detail and accuracy
- Ability to maintain confidential information
- Self-motivated with the ability to work independently
