Job Summary
Greet visitors, manage incoming calls, faxes, and emails, and maintain office security while creating a welcoming atmosphere for Board members, policyholders, and employees. Handle administrative coordination by signing deliveries, processing policyholder payments, editing daily communications, and updating the Front Desk Manual. Assist with mail processing, employee perks, fundraising activities, and special projects, including driving for local errands. Contribute to improved processes and cross-functional team participation. This full-time, on-site role requires a valid driver's license, strong Microsoft Suite proficiency, and 5+ years of corporate administrative experience.
Required Qualifications
- Applicants must be authorized to work for any employer in the United States.
- Candidates must currently be able to reliably meet the on-site requirements for both the interview process and the role.
- Relocation assistance is not anticipated.
- High School diploma and 5+ years of successful professional experience or corporate-level administrative support work
- Associate Degree or above with a minimum of 12 months' work experience
- Equivalent combination of education and experience
- Valid Driver's License required
- Frequently required to reach with hands and arms and utilize a computer for significant periods of time
- Occasionally required to stand, walk, and stoop
- May utilize a telephone and video conferencing software for extended periods of time
- May be required to operate a motor vehicle
- May be required to sit for extended periods of time in a motor vehicle
- The employee must occasionally lift and/or move up to 30 pounds
- Regular and predictable attendance is required
- This position operates fully on-site
- Effective interpersonal skills and the ability to work independently and recognize when and how to effectively collaborate with others
- Good keyboarding skills and proficient with Microsoft Suite of Products including Outlook, Word and Excel
- Ability to efficiently manage multiple projects and responsibilities
- Maintain professional and personable phone etiquette while employing active listening skills
- Appropriately prioritize multiple/complex tasks and responsibilities; effectively allocate time, optimize work practices and handle interruptions effectively
- Able to appropriately cope with the occasional stress that comes with interpersonal interactions in a standard office environment
- Manage relationships with others in a professional, courteous manner
- Receive and utilize constructive criticism to grow and develop professionally
- Exercise integrity, discretion, and confidentiality when exposed to or interacting with sensitive and proprietary information
- Stay current with constantly evolving business and technology by seeking out and participating in opportunities to grow technical and professional skills

- Create a welcoming atmosphere while maintaining office security
- Serve as back-up to Corporate Services Specialist, as needed and appropriate after training
- Assist with the administration of employee perks, fundraising activities, and company events, including tracking participation and fee collection
- Follow building maintenance complaint procedures and communicate concerns as appropriate
- May assist in processing invoices for the Corporate Services department
- Assist with mail processing
- May assist or support other departments administratively or through special projects
