Job Summary
Answer phone calls, direct visitors, and manage the Counseling Ministries Department's daily operations by greeting guests, scheduling meetings, and distributing correspondence twice daily. Maintain professors' calendars in Microsoft Outlook, type reports and memos, and record meeting minutes while monitoring email and phone messages hourly. Handle general office duties such as ordering supplies, scanning documents, and keeping the workspace organized. Assist the Department Chair with budget oversight, expense reimbursement, and faculty travel arrangements. Coordinate weekly department meetings, manage course materials distribution, and support student supervision scheduling for MAC CACREP students. Work in the office starting at 8 am, ensuring availability for calls and visitors throughout the day.
Required Qualifications
- High school diploma
- Must be able to lift up to 20 pounds on occasion
Desired Qualifications
- Bachelor's degree preferred
- Five years of administrative experience preferred
- Knowledge of the culture and purpose of DTS is strongly desired
- Proven administrative assistant skills, including use of the telephone system
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
