Job Summary
Welcome and attend to clients, visitors, and patients in a courteous, professional manner while maintaining a clean, organized reception area and managing visitor logs. Answer phone calls, respond to emails, and handle inquiries regarding clinic services, procedures, and schedules. Manage appointment bookings, confirmations, cancellations, and follow-ups, coordinating with doctors, nurses, and technicians to ensure smooth operations and minimal waiting time. Handle documentation, data entry, and filing of records, process client payments, issue receipts, and reconcile daily financial transactions. Oversee incoming and outgoing mail, deliveries, and office supply inventory. Provide personalized service to enhance patient satisfaction, follow up on feedback, and support marketing and client engagement initiatives. Assist management in maintaining front-office policies, procedures, and reports while ensuring adherence to confidentiality, safety, and service quality standards.
Required Qualifications
- Minimum of OND/HND/Bachelors Degree in Business Administration, Hospitality, Mass Communication, or a related field
- Minimum of 3 - 5 years of front office, customer service, or administrative experience
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent verbal and written communication skills
- Friendly, approachable, and professional demeanor
- Strong attention to detail and time management
- Ability to work both independently and collaboratively
- High emotional intelligence, confidentiality, and composure under pressure
Desired Qualifications
- Additional certifications in Customer Service, Office Administration, or Front Desk Management
- Experience with clinic or appointment management software (EMR systems)
