Job Summary
Administrative Assistant role providing front-office support for Wellness Mental Health Services at MHALA. Core duties include answering and routing phone calls, greeting visitors and vendors, providing clerical support, scheduling appointments with Nurse Practitioners, handling mail and faxes, maintaining office calendars, preparing meeting rooms, and performing light typing and data entry. Requires strong communication skills, ability to maintain HIPAA compliance, proficiency with Microsoft Office apps (Word, Excel, Outlook, Teams, Zoom), accurate typing (35+ wpm), and a customer-service oriented approach in a team environment. The position supports office operations, records requests, supply ordering, and coordination of conference/video calls, with emphasis on organized, empathetic, and boundary-aware service to program members. Bilingual English/Spanish is preferred.
Required Qualifications
- High school diploma or GED and 2 years experience working as an office clerical, office assistant, data entry clerk, billing clerk or other similar position
- Associate degree or certificate in data entry, medical billing, secretarial science, office management or similar without experience
- Accurate typing of no less than 35 wpm
- Proficient with computers and Microsoft Word, Excel, Teams, Outlook, Zoom, etc.
