Freelance Experiential Production Coordinator

Job Summary

Support producers in developing timelines, budgets, and core production documents while assisting in pre-production meetings, site walkthroughs, and planning sessions. Manage logistics across activations, including run-of-show documents and production schedules, and support load-in, onsite execution, staff training, and load-out as an extension of the production team. Research and coordinate vendors, venues, and suppliers; collect and manage vendor quotes, contracts, and COIs. Track invoices, contracts, and production documentation to support budget tracking, reconciliation, and post-event reporting. Maintain organized files and documentation to ensure transparency and efficiency. Collaborate across internal teams including creative, strategy, and account, and build foundational relationships with vendors and partners. This role begins as a temporary assignment with potential conversion to full-time.

Required Qualifications

  • 1–3 years of experience in experiential, events, hospitality, or production coordination
  • Familiarity with project coordination, logistics, or event support
  • Proficiency in Google Suite, Slack, and project management tools (e.g., Asana)
  • Willingness to travel and work flexible hours, including holidays, evenings, and weekends as needed
