Job Summary
Answer and respond to phone calls, communicate messages to the Director, and keep them informed of time-sensitive issues. Manage the Director's calendar, schedule meetings, and coordinate appointments while receiving and responding to correspondence promptly. Assist in preparing reports, transcribe minutes, maintain contact lists, and reconcile expense reports. Perform data entry, sales tasks, and book travel as directed, occasionally traveling and entering a public-facing sales floor. Maintain accurate records, ensure proper filing, and exercise discretion with confidential information. Requires reliable transportation and proficiency with office productivity tools.
Required Qualifications
- Bachelor's Degree required preferably with an emphasis on business subjects
- 1-3 years previous experience
- Reliable transportation required
- Ability to anticipate the needs of the Director
- Excellent written and verbal communication skills
- Strong time management skills
- Superb organization skills and ability to coordinate multiple concurrent projects
- Proficiency with office productivity tools and an aptitude for learning new software and systems
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Exercise discretion and ability to maintain confidentiality of information related to the company and its employees
- Outstanding Attention to detail
- Calendar Management expertise and proficiency
- Stakeholder engagement and capacity to speak to all levels of the organization and personal contacts
