Job Summary
Review time entries, prepare invoices, and maintain accounts receivable follow-up to own key aspects of the billing cycle. Monitor day-to-day staff activity and matter workflows to catch errors, missing information, and incomplete steps before they become larger operational issues. Ensure leads are accurately captured, tracked, and followed up on promptly while maintaining clean CRM data and identifying opportunities to improve the intake process. Build and maintain practical SOPs and repeatable processes that improve consistency, accountability, and efficiency across the firm. Coordinate administrative priorities and support key workflows to ensure important follow-up does not fall through the cracks. Apply strong attention to detail and proactive problem-solving skills to streamline operations and support firm leadership.
Required Qualifications
- Exceptional attention to detail with the ability to stay on top of multiple workflows, catch inconsistencies, and follow through without frequent reminders
- Clear and professional written and spoken English, with confidence communicating with staff, clients, vendors, and insurance providers
- Able to spot issues before they become larger problems, take initiative, and find solutions independently without requiring constant direction
- Ability to work U.S. hours, with reliable access to necessary technology and demonstrated success working independently in a remote, structured work setting
Desired Qualifications
- Experience in law firm operations, billing, bookkeeping, or office management
- Understanding of legal workflows
- Comfortable working in Clio or similar practice management software
