Job Summary
Financial Assistant to support the Decatur office with vendor and financial administration. Responsibilities include processing vendor invoices and daily expense reports with project/cost-center coding, matching purchase orders with delivery receipts for smart home equipment, verifying pricing/quantities/approvals prior to payment, communicating with vendors about discrepancies or missing documentation, supporting the controller with financial reporting and accruals, reconciling vendor statements, maintaining vendor records (insurance certificates, W-9s, 1099s, contracts), and ensuring thorough documentation for audits. Also provides general administrative duties such as phone coverage, backup support to the Purchasing Agent, travel coordination, filing, meeting minutes, and database maintenance. Required qualifications emphasize an Associate’s degree or higher in Finance/Accounting or related field, 1-2+ years as an Administrative Assistant, proficiency with QuickBooks (plus), and strong communication and organizational skills. On-site in Downtown Decatur, IL.
Required Qualifications
- Associate's degree or higher in Finance/Accounting or Related Field preferred
- 1-2+ years of experience as an Administrative Assistant
- Experience with QuickBooks a Plus
- Strong verbal and written communication skills
- Experience with Google Office Suite or Microsoft Office
- Highly organized, detail-obsessed, and deadline-reliable
- Self-motivated with excellent problem-solving abilities
- Comfortable using portals and light AI tools
- Ability to work on-site full-time in the Downtown Decatur office.
- Strong communication skills with vendors, installers, and internal project managers to ensure billing accuracy.
