Family Office Coordinator (Financial Operations)

Job Summary
Provide administrative, operational, and project support across the Family Office and related business functions. Assist with data entry, record maintenance, document management, and information validation with high accuracy. Support financial and operational processes, including invoice processing, account administration, and reporting activities. Maintain organized filing systems while ensuring the accuracy, security, and confidentiality of sensitive information. Monitor shared inboxes and communication channels, responding to inquiries or routing requests to appropriate team members. Coordinate and facilitate communication among internal departments, external service providers, advisors, and vendors. Assist with onboarding, offboarding, personnel administration, and other business operations activities. Support the development, implementation, and maintenance of operational processes and procedures. Manage competing priorities, follow through on assignments, and proactively identify opportunities to improve efficiency and organization. Assist with special projects, research requests, and ad hoc assignments as needed to support the evolving needs of the Family Office.
Required Qualifications
- Bachelor's degree in Business, Finance, Accounting, Management, or a related field
- 2+ years of experience in Accounting, Investment Management, Family Office, or Financial Service role
- Proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and PowerPoint
- Progress toward, or interest in, pursuing professional designations such as CFP
- Exceptional attention to detail with a demonstrated ability to maintain accurate records, manage documentation, and handle data with a high degree of precision
- Strong problem-solving skills and a 'no task is too small' mindset
- Demonstrated ability to handle sensitive and confidential information with discretion, integrity, and professionalism
- Strong organizational and time-management skills with the ability to effectively prioritize multiple responsibilities and meet deadlines in a fast-paced environment
- Ability to work independently while contributing positively to a collaborative team environment
- Capacity to manage competing priorities while keeping sight of big-picture objective
- Resourceful, proactive, and adaptable with a willingness to assist across a variety of functions and take on tasks outside of core responsibilities as business needs evolve
- Strong customer service orientation and commitment to delivering exceptional support to internal and external stakeholders
- 15% of the year will be spent traveling nationwide, to include to the CA office
