Job Summary
The Bookkeeper for a family office handles timely payment of personal, household, and entity expenses with emphasis on accounts payable, vendor coordination, and bank reconciliations while maintaining strict confidentiality. Responsibilities include processing invoices for utilities, mortgages, payroll, and recurring bills; managing one-time payments; performing monthly reconciliations of checking, savings, and credit card accounts; maintaining a vendor database and serving as the primary contact for billing inquiries; negotiating billing corrections; and preparing weekly/monthly expense reports and year-end summaries for tax advisors. Required skills include proficiency with QuickBooks, NetSuite, Bill.com (or similar), strong Excel, organizational and time-management abilities, attention to detail, discretion, and the ability to coordinate with family members, vendors, and advisors.
Required Qualifications
- 3–5 years of bookkeeping or accounts payable experience; family office, private household, or professional services experience preferred.
- Strong proficiency with accounting and bill pay systems (QuickBooks, NetSuite, Bill.com, or similar).
- Excellent organizational and time-management skills.
- High level of discretion and professionalism.
- Strong Excel and reporting skills.
